Laboratory Furniture RFQ Checklist

A furniture list without room and workflow context usually produces assumptions, exclusions, and repeated questions. A useful RFQ does not need every answer on day one, but it should separate confirmed information from open decisions and identify who is responsible for each technical interface.

PROJECT INPUTS

Core RFQ package

  • Dimensioned room plan and destination
  • Laboratory purpose, users, and workflow
  • Furniture families, quantities, and preferred configurations
  • Equipment schedule and service interfaces
  • Materials, project criteria, timing, and required documents

01

1. Describe the room and operating purpose

Provide a plan showing dimensions, doors, windows, columns, level changes, and fixed building services. State the laboratory type, main tasks, number of users, shift pattern, and whether the room is new, renovated, or already operating.

If final drawings are unavailable, send a marked sketch with approximate dimensions and clearly label it as preliminary.

02

2. List furniture by location and function

Separate wall benches, island benches, fume hood positions, sinks, instrument stations, storage, and mobile items. For each location, state the intended task and quantity rather than relying only on a reference photograph.

Identify which dimensions or configurations are confirmed and which require supplier discussion.

  • Room or elevation reference
  • Furniture type and quantity
  • Intended task
  • Known dimensions and open decisions

03

3. Attach equipment and utility information

For equipment, record the model, size, operating weight, support points, clearances, maintenance access, heat, vibration, and required services. For the room, mark power, data, water, drainage, gas, exhaust, and other interfaces.

Name the responsible party for ventilation, building services, specialist safety systems, and site connection work.

04

4. State commercial and delivery conditions

Include destination country and site, expected quotation date, project schedule, incoterm or delivery basis if known, packaging needs, installation responsibility, and any tender-document format.

List every certificate, test report, drawing, sample, or submission requirement. A requested document should not be assumed available until its current scope and source are verified.

BUYER QUESTIONS

Questions project teams often confirm

01Can I request a quotation before the room design is final?

Yes, but label preliminary dimensions and open decisions clearly. The quotation may need allowances or exclusions until the room, interfaces, and supplied configuration are technically confirmed.

02Are reference photos enough for a laboratory furniture quotation?

They help communicate appearance and arrangement, but they do not define dimensions, materials, utilities, performance, accessories, quantities, or responsibility. Add written requirements and room information.

03Which RFQ details most often prevent later changes?

Room dimensions, equipment interfaces, utilities, exact quantities, material requirements, responsibility boundaries, destination, and document requirements are especially important to confirm.
